Our Role

Except where otherwise expressly stated, Odyssey Travel Group Ltd, a company registered in Scotland, trading as Odyssey Travel Group ("we", "us", "our"), acts solely as an agent or sub-agent in respect of all bookings we take and/or make on your behalf.

These are the terms on which we make bookings for your travel or holiday requirements. When making a booking, we arrange for you to enter into a direct contract with the relevant supplier(s) (such as tour operators, airlines, cruise companies, accommodation providers or other principals) named on your confirmation documents.

We may book:

  • A package holiday with a single tour operator, or
  • Individual travel services with different suppliers, in which case separate contracts will exist between you and each supplier.

As agent, we accept no responsibility for the acts or omissions of the supplier(s) or for the services provided by them. The supplier's own terms and conditions apply to your booking and contain important information about your arrangements. Copies are available on request.

We do not act as the organiser of packages within the meaning of the Package Travel and Linked Travel Arrangements Regulations 2018, unless expressly stated in writing.

Governing Law

These Agency Terms and Conditions are governed by the law of Scotland, and any disputes shall be subject to the exclusive jurisdiction of the Scottish courts.

Nature of Our Offer

All travel arrangements sold through us are not an offer by us to sell travel arrangements but an invitation for you to make an offer to the supplier(s). We are free to accept or reject that offer on behalf of the supplier(s).

1. Booking and Payment

When you make a booking, you guarantee that:

  • You have the authority to accept these booking conditions on behalf of all persons named on the booking, and
  • You accept these conditions on their behalf.

To confirm your arrangements, you must pay the deposit or full balance required by the supplier, together with any applicable insurance premiums. A binding contract between you and the supplier exists once we issue confirmation on their behalf.

Please check your confirmation documents carefully and report any errors immediately. Passenger names must match passports exactly. We are responsible only for errors made by us; suppliers may charge for corrections.

Any amendments will be subject to the supplier's booking conditions and charges.

Data Sharing

The information you provide will be passed to suppliers and others necessary for the provision of your travel arrangements. This may include public authorities (such as customs and immigration), security agencies, or credit-checking companies.

Sensitive personal data (such as medical, dietary or religious information) will only be shared where necessary. By making a booking, you consent to this processing.

If you are travelling to the United States, information will be shared with US Customs and Border Protection for security purposes. If you travel outside the EEA, data protection standards may differ.

If required information cannot be passed on, we will be unable to process your booking.

Balance Payments & Late Payment

If a deposit has been paid, the balance must be paid by the due date advised. If payment remains outstanding 7 days after the due date, we reserve the right to apply a £30 late payment fee.

Failure to pay may result in cancellation by the supplier and the application of cancellation charges in accordance with their terms.

All monies paid to us are held on behalf of the supplier(s) unless otherwise stated.

2. Accuracy of Prices

Prices may be amended at any time and errors can occur. You must check the price of your chosen arrangements at the time of booking.

3. Insurance

Many suppliers require travel insurance as a condition of booking. In all cases, we strongly recommend that you take out comprehensive travel insurance to cover cancellation, medical expenses, repatriation, baggage loss and other risks.

If we issue an insurance policy, it is your responsibility to ensure all details are correct and that all pre-existing medical conditions are disclosed.

4. Special Requests

Special requests should be made at the time of booking. We will pass them to the supplier but cannot guarantee they will be fulfilled and accept no liability if they are not.

5. Changes and Cancellations

By You

All cancellation or amendment requests must be made in writing by the lead passenger and take effect on the date received. Proof of posting is not proof of receipt.

Amendments and cancellations are subject to the supplier's terms and charges, which may be up to 100% of the booking cost, particularly close to departure.

Most scheduled and low-cost airlines apply 100% cancellation charges from the time of booking.

By the Supplier

If the supplier makes a significant change or cancels your booking, we will notify you as soon as reasonably possible and liaise regarding any alternatives offered. We have no further liability beyond this.

6. Our Responsibility

Your contract is with the supplier. Our responsibility is limited to making the booking in accordance with your instructions. If we are found liable on any basis whatsoever, our maximum liability is limited to twice the cost of the booking (or the relevant proportion). Nothing limits liability for death or personal injury caused by our negligence.

7. Financial Protection

All package holidays we sell are financially protected by the organiser. Where ATOL-protected flights or flight-inclusive holidays are sold, you will receive an ATOL Certificate.

If you purchase a single travel service, package protection may not apply.

Linked Travel Arrangements

A) Face-to-face bookings If, after selecting and paying for one travel service, you book additional services through us, you will not benefit from package rights. We will not be responsible for performance of the services.

B) Online bookings The same applies where additional services are booked online following payment for the first service.

C) Links to other websites If you book via links provided, package rights do not apply.

Where additional services are booked within 24 hours, a Linked Travel Arrangement may arise. Insolvency protection applies only to payments made to us, not to supplier insolvency.

8. Passport, Visa and Health Requirements

You are responsible for ensuring compliance with passport, visa, immigration and health requirements. These can change at any time. Neither we nor the supplier accept responsibility if you are unable to travel due to non-compliance.

9. Accommodation Ratings and Information

All ratings and descriptions are provided by suppliers and are indicative only. Standards vary between countries. Availability is subject to confirmation.

10. Complaints

Problems during travel must be reported immediately to the supplier or their representative. Failure to do so may reduce or extinguish compensation rights.

Post-travel complaints should be submitted to us in writing so we can liaise with the supplier.

11. Final Travel Arrangements

You are responsible for ensuring documents are in order and for arriving in good time for departure. Some airlines require flight reconfirmation.

12. Delivery of Documents

Documents may be issued electronically or by post. We are not responsible for loss after dispatch unless due to our negligence. Replacement costs may apply.

13. Financial Protection Membership

We are a member of Protected Trust Services (PTS). Payments are held in a secure, ring-fenced trust account managed by independent trustees. Membership can be verified directly with PTS.
